Job Description – Administrative assistant to three VP/Assistant General Counsel, one VP/Public Affairs and the Legal and PAS department as time allows.

VP Support Duties

  • Perform wide range of administrative and VP-related support functions, proactively and flexibly looking for ways and resources to assist the VPs
  • Answer telephone professionally and enthusiastically assist callers
  • Schedule meetings and conference calls and help manage calendars and contacts, in a proactive and thoughtful manner
  • Research and make travel arrangements, in a proactive and thoughtful manner
  • Gather information and draft, edit, revise and distribute reports, letters, legal notices and other documents and spreadsheets, with attention to accuracy and detail
  • Perform all filing, creating files and maintaining file organization, in offices and file room, promptly and accurately
  • Create Powerpoint presentations, in a creative manner with attention to detail and accuracy

Departmental Support Duties

  • Professionally and promptly answer general Department telephone number and greet Department guests, screening calls, visitors and requests and enthusiastically and proactively directing and helping them as appropriate
  • Timely and accurately perform Legal Department Time & Labor Administration in Peoplesoft
  • Timely and accurately prepare and submit expense reports for all attorneys in the Legal Department and PAS VPs
  • Assist PAS VPs with scheduling meetings and conference calls and help manage calendars
  • Collect, and promptly and correctly distribute Department mail on a daily basis and mail packages
  • Assist in the planning and execution of Department events, including coordinating catering
  • Organize, maintain and order Department supplies and new hire set-ups
  • Manage Department micropool for computers and related equipment
  • Serve as Department Records liaison, including maintenance of Legal Department File Room
  • Review, maintain and suggest improvements to Department intranet site
  • Assure office equipment in Department is functioning properly

  • High School diploma or GED
  • Minimum 4 years prior administrative experience supporting multiple persons with differing needs and expectations, in a fast-paced, high-performing environment. 
  • High level of computer proficiency, in particular with MS Office suite (Outlook email and calendar, Word, Excel, PowerPoint)
  • High level of professionalism
  • Ability to maintain confidentiality
  • Ability to work and communicate effectively with staff at all levels
  • Ability to work in a fast-paced environment, sometimes under pressure
  • Strong attention to detail
  • Strong organizational skills
  • Ability to be proactive, flexible, resourceful and efficient
  • Ability to apply critical thinking
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Ability to prioritize and manage multiple projects simultaneously
  • Ability to follow-through on issues in a timely, and if needed, persistent manner, troubleshooting and escalating as appropriate
